Article 1 (Purpose) The purpose of these regulations is to stipulate the matters required for the recruitment and management of exhibitors and booth operation for the success in the 「2025 Jecheon Korean Medicine and Natural Product Industry EXPO」 (hereinafter referred to as the “Expo”) and efficient operation of the industrial pavilion. Article 2 (Definition) The definitions of terms used in these regulations are as follows. 1. “Expo” refers to the 2025 Jecheon Korean Medicine and Natural Product Industry EXPO. 2. “Host” refers to Chungcheongbuk-do and Jecheon City. 3. “Organizer” refers to the Organizing Committee of 2025 Jecheon Korean Medicine and Natural Product Industry EXPO. 4. “Organizing Agency” refers to a person who performs tasks on behalf of the organizer according to the organizer’s intention based on a contract with the organizer. 5. “Industry Hall” refers to a place where companies that manufacture, process, produce, or distribute products using domestic and foreign natural products and oriental medicine-related materials, as well as related organizations, associations, and domestic and foreign buyers specialize in corporate consulting, export consulting, etc. while exchanging product exhibitions, sales, promotion, and the latest technology information. 6. “Exhibitors” refer to companies, organizations, etc. that have entered into a participation contract with the organizer by submitting an industrial hall participation application and paying a deposit during the Expo period, and are categorized as follows based on the exhibition period: A. “Entire period exhibitor” refers to exhibitors who participate for the entire period from the Expo opening ceremony to the closing ceremony. B. “Short-term exhibitor” refers to exhibitors who participate for 5 days or more according to the exhibitor’s exhibition intention during the event period. However, exhibitors with special reasons and prior consulting with the organizer may participate for less than 5 days. 7. “Booths” are classified into basic and independent booths and managed according to the following categories: A. “Basic booth” refers to a booth where the organizer provides additional facilities such as partitions (side and back partitions), a floor (flame retardant pytex), a company sign, 1 information desk, 1 consulting table, 2 chairs, lighting, electrical outlets (Consets), 1 kW of electricity, and communication (Wi-Fi) in an exhibition area of 9㎡. B. “Independent booth” refers to a booth where the exhibitor secures an exhibition area that combines more than 2 basic booths as needed and bears the costs of booth installation and removal, as well as other expenses. However, basic telecommunications shall be provided by the organizer, and anything beyond that shall be borne by the exhibitor. Article 3 (Target and Period) ① The following are eligible for participation: 1. The following companies that manufacture products using natural products and oriental medicine A. Manufacturers and distributors of natural products and oriental medicine-related pharmaceuticals (natural ingredients, green bio, pharmaceuticals, etc.) B. Manufacturers and distributors of natural products and oriental medicine-related health functional foods, teas using natural ingredients, and other food products C. Manufacturers of natural products and oriental medicine-related functional cosmetics, and manufacturers and distributors of cosmetics and beauty products D. Other companies that manufacture natural products and oriental medicine-related materials, natural flavors, natural pigments, etc. 2. Organizations, associations, and other natural product manufacturers related to natural products or oriental medicine 3. Companies related to oriental medical devices and digital healthcare that can provide convenience to expo visitors based on prior consultation with the organizer ② The scope of participation targets may be adjusted according to the number of pre-participation targets of the Industrial Hall and the situation of attraction. The organizer may arbitrarily select them after consulting with the participation targets and notify any change in participation targets on the website as needed. ③ In the case of basic booth participation, the participation period is based on short-term participation of 5 days, and you can apply for participation for up to 2 sessions. To ensure smooth progress of the event, the organizer may adjust the exhibition schedule. ④ The participation period through independent booth participation is based on the entire period (30 days), but the organizer may adjust the exhibition schedule to ensure smooth progress of the event. If necessary, they can apply for two or more booths after consulting with the organizer. However, the organizer may adjust the booths applied by the exhibitor depending on the exhibition conditions, such as the exhibitor's exhibition items and the purpose of the Expo. ② If an exhibitor attempts to apply for participation in the Industrial Hall, the Expo participation contract is deemed to have been established when the exhibitor submits the 「2025 Jecheon Korean Medicine and Natural Product Industry EXPO Industrial Hall Application Form」 and pays the deposit (100% of the booth rental fee) within 20 days from the application date. ③ In principle, the 「2025 Jecheon Korean Medicine and Natural Product Industry EXPO Industrial Hall Application Form」 shall be submitted through the website. However, in case of overseas companies or unavoidable circumstances, you may submit it in writing after consulting with the organizer. ④ Even if the application form is submitted and the contract fee is paid, the contract will not be established if the organizer and the selection committee do not approve participation to ensure smooth organization and progress of the Industrial Hall. ⑤ If the planned booth area is sold out early or the organizer determines that the exhibitor's items to be exhibited are not appropriate for the nature of the Expo, the application for participation may be restricted. Even after the participation contract is established, it may be cancelled according to the circumstances of the Expo, and the deposit and other advance payments may be refunded. However, interest portions will not be refunded. ⑥ The priority of the exhibition participants is finally determined through the evaluation of the Selection Committee to be organized by the organizer, and the exhibitors selected through the evaluation of the Committee shall pay the remaining expenses, such as additional facility fee, in full by the deadline specified by the organizer in order to participate. Article 5 (Participation Fee) ① The participation fee refers to the rental fee per booth and additional facility fees. The booth specifications and rental fee are as follows. However, there is no difference in booth rental fee depending on the participation period. Early bird exhibitors by June 30, 2025 will receive the following discounts: A. 50% discount for exhibitors who applied by February 28, 2025 B. 30% discount for exhibitors who applied by April 30, 2025 C. 20% discount for exhibitors who applied by June 30, 2025 2. 50% discount for exhibitors whose headquarters, factories, workplaces, research centers, or facilities are located in Jecheon City as companies that applied for participation by June 30, 2025 (proof through business registration certificate, corporate registration copy, factory registration certificate, etc.) 3. 1 and 2 are applied individually, with a discount of up to 50% 4. For overseas companies, one booth rental fee per company is exempted ③ Considering the public nature and contribution to the Expo, the organizer may partially exempt or reduce booth rental fees for applicant companies and institutions in accordance with internal regulations. Article 6 (Payment of Participation Fee) ① When applying for participation, the exhibitor shall pay 100% of the booth rental fee as a deposit in accordance with Article 4 (2), as well as any additional facility fees (electricity, internet, etc.) in full within 20 days after the participant is selected. ② After applying for participation, the exhibitor shall pay the participation fee to the account designated by the organizer. ③ After payment of the participation fee, an e-tax invoice will be sent to the exhibition manager's email address at the time of application, and will be issued in bulk within 10 days of the following month after the end of the Expo event. Article 7 (Allocation of Exhibition Booths) ① The organizer has full authority over the booth allocation and exhibition period of the exhibitor, and may adjust or change the booth allocation and exhibition period, etc. in consideration of the harmony of the space and exhibition composition within the exhibition hall and the viewing effect. ② The organizing agency shall prepare a draft of the booth allocation for the exhibitor depending on the product group, participation scale, and participation contract order for the participating contract companies, while the organizer shall make the final decision on the booth allocation plan. The exhibitor may not raise an objection to the decision. ③ The organizer shall separately determine the detailed plan for booth allocation. ④ If the exhibitor wants to refuse to use the allocated booth, Article 13 shall apply. Article 8 (Management of Industrial Hall) ① To ensure smooth operation of the Industrial Complex, the organizing agency shall prepare an operation manual and hold an explanation session for confirmed exhibitors. However, the operation manual may be replaced by posting on the official website depending on the circumstances. ② Exhibitors shall exhibit with the items and exhibition concept stated in the application form, and assign permanent staff to ensure thorough management of their products and booths. ③ If the exhibitor commits any of the following, the organizing agency may, after reporting it to the organizer and receiving instructions, request the suspension, removal, or demolition of the relevant activity, if deemed to be the exhibitor’s fault. In this case, the participation fee paid will not be refunded, and the exhibitor may not claim any related compensation. 1. If the exhibitor exhibits items different from those stated in the application form 2. If the exhibitor exhibits items not appropriate for the nature of the Expo 3. If the exhibitor directly sells products (e.g. on-site sales) without the organizer’s permission 4. If the exhibitor presents an exhibition with a concept different from the concept stated in the application form and promotes an exhibition not appropriate for the nature of the Expo 5. If the exhibitor transfers, resells, or exchanges all or part of the allocated exhibition space to others without the organizer’s written consent ④ If necessary, the organizer may restrict the entry of specific persons. ⑤ If an exhibitor wants to hold an event in the Industrial Hall, he/she shall notify the organizer of the matter in advance and obtain approval. Soliciting customers or making loud noises is strictly prohibited. If it is judged that there is excessive noise or damage to surrounding exhibitors, the organizer and organizing agency may request the event to be stopped, and the exhibitor shall comply immediately. ⑥ An exhibitor may not change the original shape or paint the floor, ceiling, pillars, walls, etc. in the exhibition facilities. In case of damage, the exhibitor shall take appropriate measures such as restoration to original condition and comply with the organizer's request for compensation for damages. ⑦ An exhibitor shall use electrical devices within the scope of the electricity supply requested at the time of application for participation. If the exhibitor wants to use more than the allowable supply, he/she shall obtain the organizer’s approval before using. If the organizer disallows use due to power outage or safety issues caused by overload, the exhibitor shall comply with the decision. When violating this, the exhibitor shall terminate the contract and remove the exhibit at the request of the organizer. ⑧ The construction of additional facilities and basic booth equipment shall be provided through the organizing agency upon the exhibitor's application. If there is any change in the original application, the exhibitor shall immediately notify the organizer. The exhibitor is responsible for all disadvantages, including problems that may arise due to failure to notify. ⑨ Prior to on-site installation of an independent booth, prior consultation and approval shall be obtained from the organizer regarding facilities, exhibitions, etc. ⑩ During the installation of an independent booth, power outages and other safety accidents caused by excessive use of the power supply capacity shall be prevented in advance. Article 9 (Display of Equipment and Exhibits) ① The organizing agency shall manage the exhibitor’s bring-in of exhibits and fixtures on the spot, and the exhibitor shall complete the bring-in and display of the fixtures and exhibits within the designated exhibition area and time. ② Entire period exhibitors and short-term exhibitors shall complete the installation of all exhibits and fixtures by 15:00 on September 19, 2025. ③ Short-term exhibitors shall complete the installation of all exhibits and fixtures by 18:00 to 22:00 on the day before the contracted exhibition. ④ If the exhibitor fails to comply with the provisions of Paragraph 1, the organizer may cancel the exhibitor’s participation contract and claim compensation for damages, and the participating company shall accept this. ⑤ An exhibitor may not arbitrarily bring in, take out, or remove exhibits during the event. Article 10 (Removal of Exhibits and Fixtures) ① The organizing agency shall manage the removal of exhibits and fixtures on the spot, and the exhibitor shall remove all exhibits and fixtures within the designated exhibition dismantling period. ② The exhibitor shall complete the removal of all exhibits and fixtures by October 21, 2025 after the closing ceremony. However, short-term exhibitors shall remove all exhibits and fixtures by 17:30 ~ 20:00 on the contracted exhibition end date and restore the exhibition booth to its original condition. ③ In case of delay in removal, the exhibitor shall immediately pay the organizer all costs to be borne by the organizer due to delay in export, etc. Article 11 (Exhibition Hall Security and Insurance) ① The organizer shall enter into a security contract with a security service provider during the event period for the exhibitors and visitors regarding the exhibition facilities. ② The exhibitor shall be fully responsible for any damage or theft of fixtures and exhibits within the booth during the exhibition period and the dismantling period. ③ If the exhibitor intentionally or negligently causes fire, theft, damage, or other accidents that cause damage to the organizer or others, he/she shall be fully responsible for compensation. The exhibitor shall also be responsible for insurance for equipment and exhibits within the booth. Article 12 (Duty to Prevent Fire) ① An exhibitor shall install all fixtures and materials within the exhibition hall in compliance with fire regulations. ② If necessary, the organizer may request exhibitors to take all necessary measures to prevent fire, and the exhibitors shall respond immediately. Article 13 (Contract Termination and Penalty) ① If the exhibitor fails to pay the participation fee by the deadline, the organizer may unilaterally terminate the contract, and the deposit will not be refunded. ② If the exhibitor refuses to use the assigned booth, he/she shall immediately notify the organizer in writing. In this case, the organizer may terminate the contract, and the exhibitor shall pay the deposit as a penalty. ③ If the exhibitor cancels all or part of the contracted booth due to his/her own circumstances, he/she shall immediately submit a cancellation request in writing to the organizer. In this case, the exhibitor shall pay the penalty in accordance with Article 4. ④ When trying to cancel the exhibition and participation contract or reduce the scale of the exhibition, the exhibitor shall pay 50% of the deposit paid before June 30, 2025, 80% from July 1 to August 31, and the entire deposit paid after September 1 as a penalty. ⑤ The penalty in Paragraphs 2, 3, and 4 above shall be deducted from the participation fee paid and the remaining amount shall be returned to the exhibitor. Since the penalty does not include value-added tax, a tax invoice will not be issued. Article 14 (Cancellation or Change of Expo) If the Expo is cancelled due to reasons attributable to the organizer, the full amount of participation fees already paid shall be refunded to the exhibitor. However, if the Expo is cancelled due to force majeure, such as natural disasters, the amount paid will not be refunded. In this case, the exhibitor may not claim compensation from the organizer. Article 15 (Detailed Provisions) ① For the successful hosting of the Expo, the organizer shall internally establish detailed regulations regarding matters not stated in these regulations and post them on the website. ② The detailed regulations in Paragraph 1 shall have the same effect as the participation regulations, and exhibitors shall comply with them. Article 16 (Dispute Resolution) In the event of any dispute between the organizer and the exhibitor regarding the interpretation of these participation regulations, the organizer's interpretation shall take precedence, and any related disputes shall be subject to the arbitration decision of the Korean Commercial Arbitration Board, and the result of such decision may not be brought to court. Article 17 (Integrity Contract) ① The organizer, organizing agency, and exhibitors may not directly or indirectly request or provide any inappropriate benefits, such as entertainment or money, related to this contract. ② The organizer, the organizing agency, and the exhibitors shall mutually make efforts to create a transparent trading culture and maintain fair trade order. Article 18 (Duty to Comply) Exhibitors participating in the Industrial Hall of 2025 Jecheon Korean Medicine and Natural Product Industry EXPO shall comply with these regulations, and may not file any objection against any disadvantage arising from non-compliance. Supplementary provisions (Enforcement Date) These regulations shall take effect from the date of announcement.
